Proof Activity emails

ProofHQ will send you and your reviewers a Proof Activity email notification when a new comment, new reply or new decision is made on a proof. You can decide how frequently you want your reviewers to receive these notifications.

 

The Proof Activity email options are:

  • All new comments and replies. This will email every time someone adds a comment or repl, or makes a decision.
  • Replies to my comments. This will email only if someone adds a reply to a comment that made by a reviewer
  • Hourly summary. This sends an hourly email with all comments, replies and decisions listed ONLY IF there has been activity in the last hour
  • Daily summary. This sends a once-a-day email with all comments, replies and decisions listed
  • Disable. This turns off all email notifications.

 

The system default is Daily setting (also seen as Not Set).  If you or your reviewers do not make any other changes, all your proofs will have this setting.

Profile setting

You can set the frequency of the Proof Activity emails you receive in your Profile tab:

  1. Login
  2. Click the Profile tab
  3. Click the Edit Personal Details in the Personal Details section
  4. Find the Comment & replies notifications field and use the dropdown to choose the frequency of your email notifications.

 

 

Proof Activity emails for your reviewers

You can set the frequency of the Proof Activity emails your reviewers receive as follows:

 

New proof settings

You can edit the Proof Activity setting for each proof when the proof is created.  To set the Proof Activity setting for each proof:

  1. Click the Create Proof button to start creating a new proof
  2. In the Workflow section click the Advanced button
  3. In the Email notifications for this proof dropdown, select the setting you want for this proof

 

 

 

New proof defaults

If you want the same setting each time you create a proof, you can set a default in your Profile.  To do this:

  1. Login to ProofHQ.
  2. Go to the Profile tab. It's in the group of tabs on the right hand side.
  3. In the Proofing Defaults section, click Edit Proof Defaults.
  4. In the Email Notifications field, select your setting from the dropdown.

 

NOTE: This will not change the setting for proofs that you have already created

 

 

Editing your own proof setting

You or your reviewers can override your own Proof Activity email setting on a single proof.  To do this:

  1. Open the proof.
  2. Go to the Tools menu.
  3. Choose the Email Notifications option and select the new setting from the sub-menu

 

NOTE:  This will only change the setting for the proof that is open.

 

 

Editing a reviewers proof setting

You can edit your reviewers Proof Activity email setting on a single proof.  To do this:

  1. Open the proof details page.
  2. Go to the People list.
  3. Choose the Edit function on the row of the person you want to edit.  The Edit Person page will open.
  4. In the Email Notifications field, choose the new setting that you want for that person.
  5. Click Save

 

NOTE:  This will only change the setting for the proof that is open.

 

Proof Activity setting hierarchy

So the hierarchy of Proof Activity email settings is:
1. Any change made by a person Editing the proof setting itself. If none...
2. A user's Profile setting in their Profile. If none...
3. Any Proof setting made by the creator when the proof was created. If none...
4. The system default setting of "Daily".
