Understanding Workspace Permissions

Workspace permissions are based on

  • Permissions on workspace items
  • Public/Private settings for the workspace

Permissions on workspace items

The basic rule is that if a person has permission to see an item in a workspace, then they have permission to see the workspace itself.   However, they can ONLY see items in the workspace that they have permission to see.

For example, a workspace may contain Item A, Item B and Item C.  A person has permission to see item A.  They can therefore open the workspace, but when they do they will only see item A.  Items B and C will be hidden.

Users can be explicitly given permission to see items by being added to a proof or having a file shared with them.  There are implicit permisisons based on user Profiles.

Public/Private workspace settings

If a workspace is marked as Private then only the workspace ownver can add an item to that workspace.

If a workspace is marked as Public, then any user in that organisation can add and item to that workspace.
