Understanding the Proof layout

 

The proof is divided into the following primary areas

  • Review Tools
  • Navigation
  • Main Tools
  • Menus
  • Sidebar
  • Proof Area
  • Page Navigation
  • Viewing Tools

 

Review Tools

 

The review & decision tools, located at the top left of the proof, provide simple and easy mark-up and commenting, plus the decision function.  These include:

  • Add Comment
  • Make Decision
  • Box shape
  • Crop
  • Straight line
  • Feehand line
  • Arrow
  • Text highlighter
  • Colour picker
  • Line width.

 

Navigation

 

Proof navigation lets you quickly and easily jump to other parts of ProofHQ. Navigation links include:

  • Proof Details, which opens the page where you can see all of the details about the proof and edit the proof settings
  •  Workspaces, which displays all the proofs in the same workspace as the current proof and lets you navigate to other workspaces
  •  Dashboard, which is a link to the Dashboard
  •  Custom link, which is a link to any third party application that you have integrated ProofHQ with (example shown here is Basecamp)

 

Main Tools

 

The main tools, located at the top right of the proof, get you quickly to the most commonly used tools.  The main tools are:

  • Compare versions, which lets yoiu compare the current version and the previous version side by side
  • Print comments, which opens a page showing each comment thread with a thumbnail - see Print Comments
  • Download file, which downloads the original file - see Print Comments
  • Send file, which lets you email a link to the orginal file

 

Menus


 

The menus may be hidden when you open the proof.  Click on each menu to expand and collapse the menu bar. Menus are

  • Tools, which opens:
    • Add Person - lets you add a new person to the proof
    • Remind Person - lets you remind an existing person that they need to review the proof
    • Share - lets you share the Team URL or copy the Embed Code
    • Lock / Unlock Proof - lets you lock or unlock the proof
    • Delete - lets you delete the proof
    • Email Notifications - lets you change your email notifications for the proof (Note: for this proof only, not any other proofs)
    • Window Settings - lets you change the appearance of the proof window
  • Help, which opens:
    • Link to the Blog
    • Link to the Forum
    • Link to the Help pages
    • Welcome Screen
  • Close, which closes the proof and takes you back to the previous page.

 

 

Sidebar


 

The Sidebar is located on the left-side of the proof and can be expanded or collapsed by:

  • Clicking on the side bar link on the left side of the proof:
  • Using the Sidebar setting in the Window settings option in the Tools menu.


When expanded, the Comments Bar displays the following three tab:

  • Comments list
  • People list
  • Decisions list
  • Versions list
  • Workspace items list

 

Sidebar Comments List


The Comments List: tab provides a running list of the current comments made about the proof listed in the order in which they were made.  You can see the reviewer name, the page number, the comment text (truncated) and the number of replies.  Clicking on the comment in the list will open the Comment window on the proof and display any mark-ups related to the comment.

 

You can filter the comment list by person, page and action.

 

Sidebar People List


The People List is a list of all of the people who have been added to the proof.  It shows the person’s name, role, decision, number of comments and number of replies.  There are also Add Person and Remind Person buttons at the top of the tab to add more people or remind existing people.

 

Clicking on a person's name will filter the Comments List to comments by that person.

 

Sidebar Decisions List



The Decisions List shows the decisions that have taken place on the proof in date order.

 

Sidebar Versions List

 

 

The Versions List shows the versions for the proof.

 

The current version is highlighted.

 

Click on another version to open it.

 

Click Compare Versions to open two versions side-by-side (see Compare Versions).

 

Click New Version to create a new version (see New Versions).

 

Click the maximise button to maximise the sidebar.

 

Sidebar Workspace Items List

 

The Workspace Items List shows other proofs and files in the same workspace as the current proof.

 

The current proof is highlighted.

 

Click on another proof to open it.  Click on a file to download it.

 

Click Go to workspace to open the workspace details page.

 

Click the maximise button to maximise the sidebar.

 

Page navigation


 

Page navigation is managed both at the bottom of the proof as well as by manipulating the document itself.

 

The Page Navigation tools at the bottom of the proof are:

  • Previous page, which takes you to the previous page
  • Page number, which lets you type in the number of the page you want to navigate to and click return on your keyboard
  • Next page, which takes you to the previous page
  • Page thumbnails, which opens a list of thumbnails of each page for you to click on (see below).



You can also move the proof using the Navigation controls.  Click the arrows to move the document up, down, left, or right.


Using just the mouse, you can click-and-drag to move the page inside the proof.


If you have a PC mouse with a scroll wheel, you can scroll from page to page.

 

Viewing Tools


 

The Viewing Tools are in the lower-right hand corner and enable you to modify how the document is displayed. These tools include


The Page Navigation tools at the bottom of the proof are:

  • Measure an area of the document
  • Zoom using the fit-to-page preset button
  • Zoom using the 100% preset button
  • Zoom using the preset  scale button
  • Zoom using the zoom slider
  • Rotate counter clockwise
  • Rotate clockwise
  • Show/hide the Overview window


Proof Area

The proof area is the main area of the proof in which the document is displayed for proofing.



Navigating around a proof

There are a number of ways to navigate through a proof. These include:

  • Panning
  • Zooming
  • On-screen controls
  • Rotating

 

Panning

There are two ways to pan around the current open page of the proof:

  • Click and drag
  • The Overview window

 

Click and Drag

To pan around the current open page of a proof using your mouse, just click on a part of the page and drag it with your mouse until the part you wish to see is displaying in the window.

 

Overview Window

To move around the current open page of a proof, you can also click on the Overview icon in the lower right-hand corner of the interface (the eye). When the Overview window is displayed, just drag the green box within the window to the place on the current open page of the proof that you wish to view. The proof will automatically move to that location and re-render to display the area.

 



Zooming

To change the scale of the proof to, click on one of the Zoom Buttons in the ViewingTools area.

 


 

There are several zoom tools:

  • Fit to Page, which zooms the page to fit inside the proof area
  • 1:1, which zooms the proof to 100%
  • Scale Selector, which gives you options of:
    • 25%
    • 50%
    • 100%
    • 200%
    • 400%
    • Fit to height
    • Fit to width
    • Fit to page
  • Zoom Slider

 

On Screen Controls

To move around the currently open page, you can click on an arrow within the on-screen navigation controls located at the bottom of the Proof Area.

 

 

To return the document to its center point, click on the middle button

 

Rotating the Proof

To rotate the proof either clockwise or counter-clockwise 90-degrees, click on the appropriate button in the Viewing Tools.
