Reviewing a proof

This section provides a quick overview of how to review a proof.

 

Once you have opened a proof, you will have access to a number of simple and easy-to-use review and approval tools



 

Add Comment

Adding comments and mark-ups to a proof is one of the core functions of ProofHQ.

It can be done quickly and easily by clicking on the Add Comment button or one of the Mark-up icons.




To add a new comment:

  1. Click on the Add Comment button or icon in the comments section.
  2. The New Comment window will open in edit mode.
  3. Start typing your comment in the text area
  4. Add one or more markups to the proof
  5. Click Save to save your comment and mark-ups

 

Note: when you open the New Comment window, you will notice that the cursor changes to the Mark-up Cursor. This is because most comments will be associated with mark-ups on the page (i.e., a box highlighting an area). However, you can make a comment without adding a mark-up.

 

Note: you can add multiple mark-ups to a single comment.


 

 

Open Existing Comments

To open an existing comment:

  1. Click on one of the Mark-ups in the proof, or on one of the Pins in the proof area, or on a comment in the sidebar
  2. The Comment window will open and any mark-ups will be higlighted in the proof area
  3. Click the Close button to close your comment and the mark-ups

Reply to Existing Comments

The Reply feature is one of ProofHQ’s most powerful features and gives the ability for multiple reviewers to all comment together on a single proof.

 

This feature allows all proof stakeholders to have an open dialogue regarding the proof.

 

To reply to a comment:

  1. Open a comment (see above Open Existing Comment)
  2. Enter the text in the Reply box
  3. Click the Close button to close your comment and the markups

 

Your Reply will be saved and will be visible to other reviewers almost immediately.

 

Note: The current number of replies for a comment is noted next to the comment in the Sidebar


 

Edit an Existing Comment

To edit a comment:

  1. Open a comment (see above Open Existing Comment)
  2. Click on the Edit button in the Comment window
  3. The Comment window will open in edit mode
  4. Start editing your comment in the text area
  5. Edit or add one or more mark-ups to the proof
  6. Click Save to save your comment and mark-ups


Your edited comments and mark-ups will be saved and will be visible to other reviewers almost immediately.


Note: you can only edit a comment that you have made and if no reply has been posted to it


 

Delete an Existing Comment

To delete a comment:

  1. Open a comment (see above Open Existing Comment)
  2. Click on the Del button in the comment
  3. The comment will be deleted together with any replies and mark-ups related to it

 

Notes:

  • All people reviewing a proof can delete comments that they have made, but only if no reply has been posted to it
  • Moderators can delete any comment or reply
  • Administrators and Super users can delete any comment or reply

 

Delete an Existing Reply

To delete a reply:

  1. Open a comment (see above Open Existing Comment)
  2. Click on the Del button in the reply
  3. The reply will be deleted

New Markups

Mark-ups allow you to place drawings on pages of the proof to explain clearly what you are describing in your comments. There are several mark-up tools available in the proof, which include:

  • Box shape
  • Crop
  • Straight line
  • Feehand line
  • Arrow
  • Text highlighter
  • Colour picker
  • Line width.

 

Note: when you add a mark-up to the proof, it will automatically open the New Comment window for you to write a comment relating to the mark-up




To add a new mark-up:

  1. Click on one of the Mark-up icons in the comments section.
  2. The Box mark-up will be selected by default.
  3. Select a different mark-up tool if you wish.
  4. Add one or more mark-ups to the proof.
  5. At the same time the New Comment window will open in edit mode and you can typing a comment in the text area.
  6. Click Save to save your comment and mark-ups

 

Note: you can add more than one mark-up to a comment

 

Mark-up Settings

Mark-up Colour

You can change the color of the mark-up before or after you have drawn it by selecting the color tool from the Mark-up tools.

 

Mark-up Opacity

You can change the opacity of the mark-up before or after you have drawn it by selecting the color tool from the Mark-up tools.

 

Mark-up Width

You can change the width of the mark-up before or after you have drawn it by selecting the width tool from the Mark-up tools.

 

Erase a Mark-up

You You can also erase the mark-up you have just drawn by holding down the Shift Key when in drawing mode. This will turn the cursor into an eraser. To erase the line just rub over any part of it with the eraser. The same action can be accomplished by clicking on the eraser icon in the Mark-up Tools section.

 


 

 

More than one Mark-up

You can add multiple mark-ups to a comment. When the comment window appears after you have selected a mark-up tool, you can continue to use the mark-up tool as long as the comment window is visible. Each mark-up will be attached to the comment.

 

 

 

Decisions

Proof Approvers can make a decision about the proof by click on the Decision button in the Review Tools.  The combined decisions of all reviewers determine the status of the proof and helps to communicate the review process to other people connected to the proof (i.e., through a workspace).

 

People who are required to make a Decision are:

  • Approvers
  • Reviewers & Approvers
  • Authors
  • Moderators

 

Decision options are:

  • Pending, which is the default option
  • Changes Requested, you have requested changes to the proof
  • Approved with Changes, you have requested changes to the proof but don't need to see another version
  • Approved, you have approved the proof
  • Not Relevant, you do not think that you need to make a decision on this proof
